Roofing invoice template

An invoice that does not match the estimate line for line is an invitation to argue. This one carries the same takeoff items, adds the signed change orders below them, and nets off every payment already made — so the number at the foot is the number owed.

Change orders go below the original scope

Keep them visibly separate and reference the written approval. A deck-repair line appearing among the original items reads like a price rise; the same line labelled as change order one, agreed on a date, reads like the process working. The rate should be the one in the signed contract.

What the last payment should buy

Final payment is the customer’s only leverage, and it should be exchanged for something: the manufacturer warranty registered in their name, the workmanship warranty in writing, a lien release, and a site left clean. List those on the invoice so both sides know what closing the job means.

Photograph the finished roof

Attach or reference completion photographs — ridge, valleys, every flashing detail. They cost nothing on the day and settle any question about what was installed years later, when the inspection checklist comes back out.

Tax and terms

Whether roofing labour is taxable, and whether materials are taxed to the contractor or the customer, is decided by your state and sometimes your county. The tax line here is a percentage you set, deliberately — do not assume a rate, look it up for the job’s address. Payment terms should mirror the contract exactly; an invoice that invents its own terms is unenforceable against the one that was signed.
